Job Description

  • Type, edit, proofread and finalize letters and/or documents, ideally can perform paralegal activities as regards standard legal documentation (mainly corporate resolutions and simple agreements).
  • Perform administrative tasks and support responsibilities, liaise with local authorities or service providers (notary offices, public administration, RCSL, information/assistance requests and so forth)
  • Initiate and follow-up circulated documentation until full execution by various parties and subsequent digital and physical archiving + update and review of accuracy/consistency of the contract management platform.
  • Maintain files, follow up specifically assigned transactions and/or update company public records and the group companies legal files
  • Support in audit and cross department requests, compile legal and/or contract data where relevant
  • Escalate/address issues where deemed relevant
  • Liaise with internal / external parties where relevant
  • Follow-up on invoicing and billing matters where relevant

Qualifications

  • 3 to 5 years of professional experience in a similar role (law firm, in house or equivalent)
  • Graduate level Secretarial and/or legal education ideally
  • Ability to work on multiple tasks under demanding timelines.
  • Strong organizational, administrative and communication skills
  • Must be able to demonstrate good attention to details
  • Excellent problem-solving skills
  • Capability to work autonomously but also as part of a team
  • Confident, self-starter, ability to operate in a dynamic environment, initiative taking, humble and collaborative.
  • Proficiency in the use of MS Word, Excel, Powerpoint and Outlook
  • Ability to maintain confidentiality and discretion
  • Familiarity with legal documents and procedures
  • Experience with Contract and Document Management software and platforms (legisway and the like)
  • Excellent oral and written command of English. French and/or German are an advantage.
